In re: taking notes about places you look at, I usually keep a spreadsheet for this. The columns in my spreadsheet are:
Address Near (i.e. cross-street or neighbourhood) Bedrooms Rent ($) Deposit ($) Lease (months) Gas stove? (Y/N) Flooring (eg. hardwood, carpet) Laundry (Y/N) Dishwasher Inspection time ("emailed" if I've emailed asking for one but haven't got it yet) Landlord name Phone Advertisement URL (usually craigslist)
The stove/floor/laundry/dishwasher were things that were important to me when I was looking; of course you can replace them with whatever your key points are.
I would ideally carry a notebook and pen, a digital camera, and a tape-measure when inspecting. Notebook and pen are a minimum! I also used to carry a full set of photocopies of ID, written references from previous landlords, proof of employment, etc, so that if I wanted to apply on the spot I would have all the paperwork I needed.
